Pricing — real GBP ranges

FlowGenix Automations is a UK AI automation consultancy based in Basingstoke, Hampshire. This page publishes the actual price ranges we quote UK SMEs — because most consultancies refuse to, and that is the single most common frustration prospects tell us about on audit calls.

Everything below is what we quote in the wild. Final figures depend on scope agreed at the audit stage. There are no setup fees, no per-user charges, and no minimum contract beyond a rolling 3-month retainer.

How does FlowGenix structure its engagements?

Every engagement follows the same three-stage path: (1) free 20-minute audit call, (2) paid deep-dive audit £1,500–£2,500 delivering a fixed-scope build proposal, (3) build phase quoted as a fixed fee plus a monthly retainer. This structure protects both sides — nobody signs a big cheque without a written scope, and we don't scope for free.

What does the free 20-minute audit cost?

Nothing. It's a Calendly booking, screen-shared, no sales deck. We map your current workflow, name what is achievable, name what isn't, and quote a paid audit only if there is genuine scope to justify one. If your operation is already lean we say so and don't waste your time.

What does the paid audit cost?

£1,500–£2,500 depending on scope. Deliverable is a written report with: current-state workflow map, prioritised automation opportunities, tool-stack recommendation, ROI projection, and a fixed-fee build proposal for the recommended systems. If you proceed to build, the audit fee is credited against the build.

    What do builds actually cost?

    SystemSmall (sole trader / 1 site)Medium (multi-branch / 5–20 staff)
    AI voice receptionist£1,500–£2,500£2,500–£4,500
AI outbound voice agent (screening / follow-up)£1,800–£2,800£2,800–£5,000
    RAG chatbot (client support)£1,500–£2,500£2,500–£5,000
    Missed-call recovery + SMS text-back£800–£1,500£1,500–£2,500
CRM / workflow integration project (n8n)£1,200–£2,500£2,500–£6,000
Web scraping + enrichment pipeline (Apify)£1,000–£2,000£2,000–£4,500

What does the monthly retainer cover?

Retainers start at £250/month for a single simple system (missed-call text-back, basic chatbot) and typically sit £450–£950/month for a full voice receptionist or multi-system deployment. It covers: hosting, monitoring and uptime, prompt tuning, small changes and additions, and support during UK business hours. Third-party usage costs (Twilio, VAPI, ElevenLabs, OpenAI/Anthropic) are billed at cost with full transparency — no markup.

What is the day rate for consultancy or one-off work?

£850–£1,200 per day for pure consultancy (no build). Most clients don't buy days — they buy outcomes at fixed fee. But if you have an in-house team and need specialist n8n, VAPI, or workflow-architecture help, the day rate is what we quote.

    Is there a minimum contract?

Retainers run on a rolling 3-month term. Cancel with 30 days' notice from month 4 onward. Build fees are one-off. No annual lock-in. If a system isn't earning its keep, you shouldn't be paying for it — that is our position, not the small print.

    Frequently asked questions

Why is the range so wide?

Because scope drives the number. A voice receptionist that just books into Google Calendar is at the £1,500 end. One that integrates deeply with a proprietary PMS, handles NHS/private triage, and supports 4 sites is at the £4,500 end. The audit determines exactly where you sit before you commit to anything.

Do you take a percentage of revenue or savings?

No. Fixed-fee build plus monthly retainer, transparent third-party costs at cost. Performance-based pricing sounds attractive but creates perverse incentives on both sides.

What happens to third-party costs — Twilio, VAPI, OpenAI?

Billed at cost with full monthly statements. For a typical single-line AI receptionist expect £30–£90/month in Twilio + VAPI + ElevenLabs usage. Busy multi-line trades or restaurants sit £80–£200/month.

    Do you offer payment plans?

Build fees over £3,000 can be split 50/50 across kickoff and go-live. We don't finance beyond that.

What if we already have some automations in place?

Great — the audit assesses what to keep, what to replace, and what to leave alone. We don't rip out working systems for the sake of it.
