FlowGenix Automations is a UK AI automation consultancy based in Basingstoke, Hampshire, building phone-booking and reservation-management systems for independent restaurants, gastropubs, and small hospitality groups across the UK.

- AI phone booking. UK voice, answers on first ring, takes party size, date, time, dietary notes, and phone number. Writes straight into ResDiary, SevenRooms, OpenTable, or a simple Google Sheet for smaller sites. If a slot is unavailable it offers the nearest alternatives.
- Confirmation and reminder sequence. SMS 24 hours ahead, second SMS 2 hours ahead for larger parties. Reply "cancel" and the AI releases the table and immediately checks the waitlist.
- Waitlist auto-fill. Cancellations trigger a WhatsApp / SMS broadcast to the waitlist for that shift. First to confirm gets the table — no manager phoning down a list.
- Card-hold deposits for large parties. Bookings of 6+ automatically trigger a Stripe card-hold link. No shows lose the deposit; the restaurant stops eating the food cost.
- Review capture. 3 hours after the booked slot the guest gets an SMS with a Google review link. UK restaurants running this typically triple monthly review volume within 60 days.
Which tools does this run on?
Voice on VAPI with ElevenLabs UK voices. Telephony on Twilio (or the existing restaurant line forwarded during service). Orchestration on n8n. Payment card holds via Stripe. Integrations to ResDiary, SevenRooms, OpenTable via their public APIs and Google Sheets / Airtable for smaller sites that don't run a dedicated booking system.
How much does a restaurant AI booking system cost?
Single-site independent: £1,500–£2,500 build, plus a monthly retainer that covers hosting, voice minutes (typically £30–£70 for a mid-size restaurant), and support. Multi-site groups: £2,500–£4,500 build depending on the booking platform's API depth and shared waitlist logic across sites.
Will this replace our booking platform?
No — it sits on top of it. If you already pay ResDiary or SevenRooms you keep them; the AI reads and writes availability through their APIs. If you don't use one and don't want to, we can start you on Google Calendar and a shared inbox instead.
Frequently asked questions
Can the AI handle special dietary requests and allergies?
Yes — allergen questions are captured and attached to the booking note the kitchen sees. For anaphylaxis-level allergies the AI flags the booking for a human callback before service to confirm kitchen capacity.
What about large group enquiries and private hire?
Bookings above your threshold (usually 8 or 10) are triaged separately — the AI captures date, requirements and budget and books a manager callback rather than confirming the table blind.
Will it work in a bilingual area like Wales?
Yes — ElevenLabs supports Welsh, and we can build the AI to greet in Welsh and switch to English on request.
Can it take bookings out-of-hours when we're closed?
That is the biggest single reason restaurants deploy this — most consumer booking calls happen between 6pm and 10pm exactly when the phone is worst-answered. The AI runs 24/7.
